21st CCLC Announcements

Good morning, as we all prepare to enjoy the upcoming summer, let us not lose track of important 21st CCLC happenings and requirements that will help us be on track for next fall and support summer initiatives.


URGENT: GPRA #5 Engagement in Learning Survey for Teachers

This fall, when we report our 21APR data for the summer of 2022 and the 2022-2023 school year, one area in which we are looking for improvement is teacher-reported engagement in learning (for grade levels 1-5). Right now is the best time to survey your teachers for this information, while the students’ performance is fresh in their mind.

If you recall, we worked with the UC evaluator team to develop a simple survey for making this determination. GPRA #5 asks grantees to review the results of these surveys for the students on their roster (you will not be reporting the survey data, just the number of students who improved – “yes” or “no”).

  • There are many ways to administer the survey:
    • meet with the classroom teacher(s) to review the survey questions and your roster and have them answer “yes” or “no” for each student they had in their class during the 2021-2022 school year;
    • make the survey into a Google or Microsoft form and email it to your classroom teachers asking them to indicate student name so you can match it to your roster;
    • print a survey for each student on your roster, placing their name on it and distribute to teachers for completion; or
    • find a way that works for your site and staff as long as the finished product is your roster with a “yes” or “no” next to each student name. Note students for whom no data is available to assist with your data entry on the website.
  • You will be reporting this November on all students for whom grades are available regardless of the number of hours they attended your programming.
  • You might not have GPRA #5 data for some students – these could include transient, homeschooled, or private school students for whom you have no communication with their 2022-2023 classroom teachers. If a teacher of record for a student on your roster has left the district, and you have a reading or math teacher for your student who can complete the survey, we welcome this feedback and prefer it to no data at all.
  • This data is reported for both summer and school year terms (if sites were active). You may have duplicative data for summer and school year – this is expected.
  • This data is reported for students in grades 1-5 (for reporting summer 2022, refer to grades the students would be in during the 2022-2023 school year).
  • Keep the completed surveys for data entry this November.

Our office will host a data entry training in August to explain what you will do with the survey results (and other data from COSA’s worksheet) – stay tuned for announcements of dates and registration details.


5th Year Grantees: Contact Information – Required in the CCIP History Log by June 15, 2023

It has been our experience that some grantees have contracts with staff and evaluators that end prior the deadlines for reporting required data to the Department. This has resulted in our being unable to contact someone with the data needed to provide the information discussed in this training.

To be proactive and solve this communication issue, our office needs the name, email address, and telephone number of a person our office should consider the primary grant contact after June 30th from all 5th year grantees. Please provide this by having your fiscal representative make a note in the CCIP history log at https://ccip.ode.state.oh.us/. They can do this by navigating to Home > Funding > Sections and then selecting “create comment.”

This contact person should also have the 21st CCLC program manager or a data entry role in OEDS to grant them access to our reporting systems for fulfilling grant closeout requirements. Our suggestion is that this person might be affiliated with your LEA partner and/or that your local evaluator’s contract extend to the end of the calendar year to ensure they can complete these activities for you.

It is also good idea for this person to follow this blog. Please make this history log by June 15, 2023 – after this date our regional consultants will check in with anyone who has not secured this information.
