21st CCLC Timeline

The 21st CCLC Office has selected dates for the FY25 Bidders Conference, and Question & Answer Session, CCIP Navigation, and Continuation Plan trainings. These dates are shown on the 21st CCLC Timeline webpage and registration information and details will be shared there as they are available. Please ensure affected staff members are watching this blog and the timeline for program updates throughout the year.


21APR Outcomes Reporting

21st CCLC grantees have identified in feedback to our office that multiple December deadlines for grantees present challenges we seek to alleviate. The US Department of Education also recognizes that 21APR Outcomes data takes coordination with district partners which may present a delay in its collection.

For this reason, we feel Monday, January 29, 2024, would be a reasonable deadline for 21APR Outcomes data, especially as we continue to address errors preventing some grantees from completing their submissions.

This week, please focus on ensuring EOY reports and other December deadlines below are addressed. Our office will be in touch via the 21st CCLC blog and emails to program managers to provide additional instructions and troubleshooting related to 21APR data submissions.

Family Engagement Survey

The University of Cincinnati Evaluation Services Center (UCESC) has provided a guidance document for the new Family Engagement measures for this year found on the 2023-2024 Evaluation Resources page. This document includes the individual survey items to be administered to families as well as some guidance for why/when/how to distribute. Additionally, they have provided a survey data collection tool that programs may choose to use to help track survey responses – this tool is simply a resource that may help with data collection.

The family engagement survey should be administered to families at or near the end of their engagement with 21st CCLC programming (typically in the spring) but for some programs it may be appropriate to administer the items now. Please review the guidance document and submit any questions regarding this survey to UCESC using this form.


End of Year Reports Due December 15, 2023

End of Year reports for (completed in Qualtrics) are due to the University of Cincinnati Evaluation Services Center by next Friday, December 15th. Individualized links were sent to each 21st CCLC program manager. If you did not receive the Qualtrics reporting link or need assistance with the process, please contact them using this form as soon as possible and provide the grant number and correct contact email for the person submitting the data.


Over 80% of public schools offered summer programs in 2023

A majority of public schools offering academic summer programs enrolled most students who needed or wanted to attend, according to the U.S. Department of Education’s National Center for Education Statistics. You can read more about this here.


Build Creativity and Communication Skills While Having Fun!

1st Year Implementation and/or CAPA Monitoring Surveys Due December 15, 2023

The deadline to complete 1st Year Implementation and/or CAPA Monitoring Surveys and include the appropriate documentation for each question is this Friday, December 15th. For grantees that have reported an issue with their survey(s), the 21st CCLC office will reach out on Wednesday, December 13th with updates and next steps. Grantees that have not yet started their surveys should refer to this blog post for resources to add grants and complete the monitoring survey process.

COSA Hosts Regional Technical Training on Implementing Engaging STEM Activities

This regional technical training will focus on best practices for implementing engaging STEM activities for all ages in to your OST program(s).

  • Southwest Region: Monday, 12/18/23 at 12:30 PM
  • Northeast Region: Friday, 12/15/23 at 11:30 AM
  • Northwest Region: Friday, 12/15/23 at 2:00 PM
  • Central Region: Friday, 12/15/23 at 9:00 AM

Grantees may attend any session that fits their schedule, regardless of region.
